January is the only month of the year when your clients actually expect you to be a little behind. Take advantage of it.
Most owners don't. They open back up on the 2nd, run flat-out from the first booking, and never get around to the things they swore they'd fix in December. By March it's the same chaos — same double-bookings, same chasing the same payment, same Instagram bio that still says "DM to book" — and the year quietly slips into the shape of last year.
This is a checklist to stop that. Seven days, one task per evening, an hour each. By next Friday your business is in better shape than it's been in two years.
Day 1 (Monday): Clean your client list
Open whatever you use to track clients. Pad, phone contacts, notes app, spreadsheet, the WhatsApp group called "appointments." Spend 60 minutes turning it into one list, in one place, with these four columns:
- Name
- Phone
- Email (if you have it — leave blank if not)
- Last service date
Don't worry about being complete. Get the regulars first — anyone who's been in the last 90 days. The lapsed clients can wait until Day 6.
The point isn't a perfect database. The point is having a single source of truth so when you ask "have we seen Marsha this year?" the answer is one place to look.
Day 2 (Tuesday): Write down your services and prices
Open a fresh page. List every service you actually offer. Beside each one, write:
- The duration in minutes
- The price in JMD
- Whether you require a deposit (and if so, how much)
Half of you are going to find at least one service you offer that you haven't raised the price on since 2023. Fix that tonight. Inflation has eaten more of your margin than you realise.
The other half will discover you've been quoting two slightly different prices for the same service depending on who asks. Pick one. Write it down. Stop negotiating with yourself.
Day 3 (Wednesday): Pick your one booking system
If you've been thinking about this all year, tonight is the night you stop thinking about it.

If you already have a system but you're not happy with it, this is the night to switch. Migration is two hours, not two weeks. Don't let sunk-cost feelings keep you on a tool that isn't working.
Day 4 (Thursday): Connect your calendar and turn on reminders
Two settings, both critical, both 10 minutes.
Calendar sync. Connect your Google Calendar so personal appointments and bookings live in the same place. The number of double-bookings caused by "oh, I forgot I had that thing" is huge, and this kills it permanently.
Reminders. Turn on a 24-hour-before SMS reminder and a same-morning email. Default settings are fine. You can fine-tune later. The point is: by Friday morning every appointment in your system has automated reminders going out without you doing anything.
The remaining 40 minutes of your hour: write your reminder text. Keep it under 160 characters so it sends as one SMS. Include your name, the appointment time, and a way to cancel or reschedule. Something like:
“Hi {Name}, this is Tasha at Tasha's Hair. Reminder: your appointment is tomorrow Tuesday at 2pm. Reply C to cancel or call 876-555-1234 to reschedule.”
Use your name. Use the day of the week. Don't be cute.
Day 5 (Friday): Update every place clients find you
Open this list. Update each one tonight:
- Instagram bio — add the booking link
- Facebook page — add the booking link as the primary action button
- WhatsApp Business profile — add the booking link in the description (our WhatsApp booking link guide has the wording that converts)
- Google Business Profile — add the booking link as the appointment URL
- Email signature — add the booking link at the bottom
- Your website if you have one — add a "Book now" button that goes to the link
- Print one card with the link to keep at the front desk for clients who insist on writing it down
Friday night, every doorway to your business has the same front door. Half your clients will never call again. They'll just click.
Day 6 (Saturday): Send a "we're back" message to lapsed clients
Pull up the client list from Day 1. Filter to anyone whose last visit was more than 90 days ago. That's your lapsed list.
Spend an hour writing one message. Personal-feeling, not blast-y:
“Hi Marsha, hope you had a good Christmas! Just a quick note — I'm fully booked from next week so wanted to give you first option to grab a slot. Here's my booking link: [link]. No pressure, just thought of you.”
Send it. To 30 of them, one at a time, on WhatsApp, with their name actually typed in.
A handful will book within 48 hours. A few more will book by the end of the month. The rest don't matter — you've reminded them you exist, and you're top of mind for the next time they need you.
Day 7 (Sunday): Block the year's holidays
Open the calendar. Block these days off, the whole day, in advance:
- Ash Wednesday
- Good Friday and Easter Monday
- Labour Day (May 23)
- Emancipation Day (August 1)
- Independence Day (August 6)
- National Heroes Day (third Monday in October)
- Christmas Day and Boxing Day
- Any personal trips or weddings you already know about
Doing this once on January 7 saves you 10 awkward conversations across the year about "oh sorry, I'm closed that day." The booking page just won't offer those slots. No back-and-forth. Done.
While you're at it, set your hours for Saturdays and Sundays based on what you actually want — not what you've drifted into. If you don't want to work Sundays, close Sundays. The system enforces it for you.
What you've done in seven days
You started the year with a notebook and a phone full of half-organised contacts. You ended the week with:
- A clean client list in one place
- Clear, current prices for every service
- A booking system clients can reach 24/7
- Reminders going out without you lifting a finger
- The booking link on every channel a client could possibly find you on
- A reactivation message in front of 30 lapsed clients
- The year's days off already blocked
That's seven hours of work for a year of fewer phone calls, fewer no-shows, and a steady drip of clients booking themselves while you sleep.
A note on Day 8 and beyond
You'll be tempted to keep going — add intake forms, set up automated review requests, build a loyalty program, customise the booking page colours to match your Instagram. Don't. Not yet.
Run it boring for 30 days first. Watch how clients behave. The fancy add-ons mean more once you know what's actually slowing you down. Most owners who go straight to "advanced" features end up with a system so customised they can't change it without help, and customisation that's solving problems they don't actually have.

- What if I don't have email addresses for half my clients?
- Leave them blank. SMS reminders work on phone alone. You can collect emails over time as clients book online, since email is required at booking.
- My business has more than one location. Do I do this seven times?
- No. Most modern booking systems handle multiple locations in one account. Set up location 1 in week one, then add location 2 the following week so you can focus on each one cleanly.
- I work alone. Some of these days feel like overkill.
- The whole list still applies, except Day 5's signage. If you work alone, the seven hours of work is paying back hours of phone-tag and chasing later in the year. Don't skip Day 6 — it's where solo operators get the biggest reactivation lift.
- What if I can't get through it in a week?
- Then take two. The point is the order, not the deadline. Don't skip ahead — Day 4 doesn't work if you haven't done Day 3, and Day 5 is pointless if Days 3 and 4 aren't running.
